Practical Information

Selection Criteria

Applicants are evaluated according to the following criteria:

  1. To what extent does the topic of proposed research match that of the provisional host’s project
  2. To what extent is the proposed research prepared, and to what extent is the research plan coherent?
  3. Are achievements and experiences of the applicant relevant to the project?
  4. To what extent has prior consultation with the host project on applicant’s research content and role taken place?

Potential RIHN hosts

Applicants need to develop plans for research and activities during the stay at RIHN with a provisional host. A list of potential RIHN hosts is shown below. It is required that the initial contact with a provisional host researcher should be made at the latest 2 weeks prior to the application deadline. If you would like to contact a potential host you have not interacted with before, please send an email to E-mail. Your email will be sent forwarded to a provisional host researcher.

Period of Research at RIHN

The research period ranges from 2 months up to 3 and 1/2 months, within the fiscal year 2016 (December 16, 2016-March 31, 2017).

Duties

Visiting Research Fellows are expected to engage in the following activities:

  1. Research and activities related to RIHN Research projects, Research Programs or RIHN Center
  2. Provide feedback and advice concerning operation and activities at RIHN

Visiting Research Fellows are also required to:

  1. - Give one or more lectures at a RIHN Seminar
  2. - Submit a short activity report (Note: A research paper written while at RIHN and published in a scientific journal could be submitted instead.)

Eligibility

Applicants must

  • have a Ph.D. or equivalent qualification/experience,
  • have a position of assistant professor or higher and,
  • be a researcher who is employed in an overseas research institute or a non-Japanese researcher who is employed in a university or a research institute in Japan (Applicants should maintain their employment status at the home institution until the end of placement at RIHN).

Maintenance Allowance

RIHN covers expenses for accommodation at the RIHN House and basic daily allowances during the Fellows’ research period according to RIHN Regulations. The amount is 237,000 JPY (for 30days of stay)

Note: It is reduced to 90 % (after 30 days of stay) and 80 % (after 60 days of stay) of the amount stated above.

Travel Expenses

Travel expense for one round trip ticket between home institution and RIHN is reimbursed.

Research Support Allowance

A research support allowance (150,000JPY) is available to cover cooperative research-related expenses.

Accommodation

The RIHN House is available for accommodation.

The rent for a single room is approximately 50,000JPY per month, which Maintenance Allowance covers. (The rent is subject to change.)

Working Hours and Holidays

The same system for RIHN researchers is applied.
(The system is discretionary labor system, which establishes a de facto total of working hours in advance, for which researchers are then paid regardless of the actual number of hours worked. At RIHN, the de facto total of working hours is 7 hours and 45mins per day, 38hours and 45mins per week.)

How to apply

Deadline for applications * Extended

All application documents must be submitted by email no later than Monday, August 31 Friday, September 30 2016.

What needs to be submitted

  1. Completed RIHN FY2016 Visiting Research Fellow application form.
  2. CV with the following information:
  3. 1. Major field of research, degree(s) and dates received; 2. Employment history; 3. List of major publications and whether refereed.

  4. A letter confirming the employment from home institute. If the letter is written in a language other than Japanese or English, please attach an official translation of the letter into either Japanese or English. (There is template for this letter.)

*Points to notice

  1. Documents must be written in either Japanese or English.
  2. Use the RIHN application form of 2016 version (photocopy is acceptable).Other forms cannot be accepted.
  3. Make sure that your home institution approves the application as well as the period of absence for the research visit to RIHN. The letter can be sent electronically to RIHN in a PDF format by either applicant or home institution The letters written for other purposes cannot be accepted.
  4. Application will not be considered if it contains omissions, mistakes or falsehoods, or if any unrequested documents are submitted.
  5. Submitted documents will not be returned to applicants. Personal information will be treated securely according to Japanese laws and regulations, and will be used for the selection only.

The Selection Process

Selection of Visiting Research Fellows takes place from October to November. The International Affairs Subsection will notify the result of selection to every applicant in November 2016 following the selection meetings.

Please note that inquiries about the selection results or about the method of selection and details of the selection process should not be made.

July-September, 2016 ● Application period
Distribution of the application forms and related guidelines to potential applicants
September 30, 2016 (Friday) ● Deadline for applications (applications must be delivered to the International Affairs Subsection, RIHN, no later than this date.)
September, 2016 ● Notification of receipt of applications will be sent to every applicant by email
October-November, 2016 ● Review and selection
RIHN examines the applications and relevant documents and selects the Visiting Research Fellows at the selection meeting
November, 2016 ● The International Affairs Subsection will notify the result to every applicant.
The RIHN cannot respond to inquiries about the selection until notification.
From November, 2016 ● Visiting Research Fellows will receive detailed information about the relevant procedures from the International Affairs Subsection.
(Arrangements for coming to Japan start immediately after the selection result is delivered.)
From December 16, 2016 ● Visiting Research Fellows come to Japan to start their research.
